Job Description

Job Summary: We are seeking a dedicated and detail-oriented Medical Administrative Assistant to provide full secretarial support to the attending Cardiologist. The ideal candidate will ensure a smooth operation of the cardiology clinic and enhance the patient experience.

Responsibilities:

  • Communication and Patient Interaction:
    • Greet patients warmly and professionally.
    • Monitor the waiting area to ensure patients are received and queued properly to see the physician;
    • Handle patient inquiries and provide information about clinic services;
    • Communicate with healthcare providers, public, and patients in a respectful and courteous manner;
    • Manage phone calls, emails, fax, and other correspondence efficiently;
    • Facilitate communication between patients and the physician regarding treatment plans and follow-up care;
    • Ensure privacy and confidentiality are maintained.
  • Administrative Support:
    • Maintain the physician’s schedule;
    • Conduct office duties such as answering phones, typing letters, managing mail, faxing, preparing exam rooms, placing patients in exam rooms, and cleaning exam rooms between patients;
    • Schedule patient appointments and manage the appointment calendar (experience scheduling in Cerner preferred);
    • Prioritize patient appointments and referrals under the direction of the physician;
    • Coordinate patient tests and procedures;
    • Maintain the wait list of new consults;
    • Ensure proper information for triaging new consults is available and ensure new consult triaging is documented and organized;
    • Transcribe and enter into patient files notes and letters dictated by the physician in a timely manner;
    • Ensure that patient files are maintained accurately and the information in the files is current on both electronic and paper-based records;
    • Perform other duties as assigned.

Qualifications

  • Minimum of Grade 12, supplemented by successful completion of a medical secretary or office studies program with a specialized course in medical terminology.
  • Typing speed of 50 words per minute, net of errors.
  • Ability to demonstrate proficiency working in a computerized environment that includes word processing, e-mail, entering information into an electronic file, and physician scheduling.
  • Knowledge of medical filing systems is essential.
  • The ability to manage highly confidential information.
  • Must have a good previous work record and attendance record.
  • Criminal record check with a vulnerable sector check required.
  • Prior experience as a medical administrative assistant/secretary/receptionist strongly preferred.
  • Prior work in a specialist clinic, ideally cardiology, is an asset. Knowledge of cardiology terminology and procedures is an asset.

Other

Important Notes: Although this position will be hired by the Murnaghan Medical Corporation, the new hire will be working in a Health PEI facility. Health Care Workers are required to provide proof of Covid-19 vaccination as per Health PEI’s Covid-19 Immunization and Management Policy. In the event that a new hire is unable to be vaccinated as a result of a medical exemption they will be required to submit supporting documentation.
